Affiliate Faculty

On the recommendation of the Dean, an individual holding a faculty appointment at another academic institution may be appointed as an honorary affiliate faculty member of UBC. 


Appointment Specifics

As approved by the Dean, Affiliate faculty members will be appointed to the UBC rank that most closely aligns to their primary appointment at the collaborating university, and in the FoM Department/School that best aligns with the individuals’ area of expertise.

Such appointments are non-salaried (i.e. unpaid) and may be up to 10 years in length. The appropriate length of appointment will be determined by the context of the appointment, such as the purpose of the appointment and appointment length at their current institution. Please contact Faculty HR should you have any questions.

A lump sum honorarium could be paid as a recognition of services rendered. If an honorarium is paid to an affiliate faculty appointment, that honorarium is not eligible for pension and benefits except for statutory benefits (Canada Pension Plan, Employment Insurance and Worker’s Compensation Board). Please contact Faculty HR prior to committing to compensate an Affiliate faculty member for academic services.

Distributed Education Programs: Under the Faculty of Medicine’s (FoM) distributed education programs, faculty members who are assigned teaching by a distributed program and hold their primary appointments at FoM-affiliated universities (e.g. University of Victoria, University of Northern British Columbia) are to be appointed as Affiliate faculty members within a relevant unit in the FoM. They are subject to all of UBC’s policies, guidelines and procedures relevant to their role in delivering education activities to students and learners in the UBC Faculty of Medicine, including Faculty of Medicine Affiliate Faculty Guidelines.

Appointment Checklist

Collect appointee’s personal information:

  • Contact Information (email is required)
  • Work Location
  • If the work is to be performed in Canada, proof of legal entitlement to perform work for UBC is required. For example, one of either a Canadian passport, birth certificate, or citizenship or permanent resident card must be provided.

Documents to be submitted via Workday:

  • Current Curriculum Vitae
  • Signed Offer Letter (see Faculty Relation’s offer letter template for unpaid term faculty appointments)
  • For affiliate faculty members who are hired by a FoM distributed program, business title and work location in Workday must reflect their home university (e.g. Affiliate Assistant Professor – UVIC).

Documents to be submitted via OneDrive (Files for FoM Faculty HR):

  • A letter of recommendation from Head/Director to the Dean that includes the following:
    • Written by the Department Head/School Director, and addressed to the Dean of Medicine
    • Requests an affiliate appointment for the candidate
    • States the candidate’s current faculty rank and home institution
    • Rank (Affiliate faculty members will be appointed to the UBC rank that most closely aligns to their primary appointment at the collaborating university)
    • Start date and end date (June 30 is recommended, to take advantage of the reappointment batch process)
    • States the FoM distributed program hiring the candidate (if applicable)
